At Memorable Vacations, we are committed to protecting your personal information in keeping with Canada's privacy laws, including the Personal Information Protection and Electronic Documents Act (PIPEDA).

Memorable Vacations, operating as Weddings by Memorable Vacations, is a mother-daughter travel agency run by Tina and Jayna. We plan destination weddings, honeymoons, group travel, milestone vacations and bucket-list trips. We are an affiliate/division of The Travel Agent Next Door (TICO Registration #5003172).

In this policy, "we," "us" and "our" mean Memorable Vacations. "You" means anyone who visits our website, contacts us, or travels with us, including wedding couples and their guests.

Our Privacy Commitments

Tina and Jayna are personally responsible for how Memorable Vacations handles your personal information. We will:

  • Collect only the information we need to plan and book your travel, and tell you why we are collecting it.
  • Use your information only for the purposes we have identified, or as required by law.
  • Ask for your consent, and respect your right to withdraw it.
  • Keep your information accurate, complete and up to date.
  • Protect your information against loss, theft and unauthorized access.
  • Notify you, and report to the Office of the Privacy Commissioner of Canada, if a breach of your information creates a real risk of significant harm to you.

What Information We Collect

We collect personal information when you contact us, request a quote, book travel, or sign up for our newsletter.

When you contact us or request a quote, we may collect your name, your partner's name, your email address, your phone number, the destinations and dates you have in mind, how you heard about us, and any details you share about your trip.

When you ask a question on a wedding guest page, we collect your email address, your question or special request, and your name if you choose to provide it.

When you book travel with us, we may also collect:

  • Full legal names, dates of birth and gender, as they appear on travel documents
  • Passport details and citizenship, where required for your destination
  • Mailing address and emergency contact information
  • Loyalty and rewards program numbers, such as airline, hotel or cruise line memberships
  • Travel preferences, such as room type, dietary requirements, accessibility needs and special occasions
  • Health information relevant to your travel, only when you choose to share it (for example, a mobility or medical need a supplier must accommodate)
  • Payment information needed to pay deposits and final balances to travel suppliers

For wedding group travel, a couple may share their guests' names and contact details with us so we can share booking information and coordinate the group. Guests may also give us their own details directly when they book.

How We Use Your Information

We use your personal information to:

  • Answer your questions and prepare travel options and quotes
  • Book and manage your travel arrangements, including wedding group bookings
  • Communicate with travel suppliers as needed to complete and service your booking
  • Send you booking confirmations, travel documents, payment reminders and updates about changes to your trip
  • Send you our newsletter and travel ideas, only if you have agreed to receive them
  • Meet our legal, regulatory and record-keeping obligations as a registered travel agency

We do not sell, rent or trade your personal information.

Who We Share Your Information With

We share your personal information only as needed to plan and book your travel, or as required by law.

  • Travel suppliers, such as airlines, resorts, hotels, tour operators, cruise lines, transfer companies and travel insurance providers, so they can provide the services you have booked.
  • The Travel Agent Next Door, our host agency, which processes bookings and maintains records as required for a registered travel agency.
  • Service providers that help us run our business, such as our website host, email delivery service, booking and client management software, online forms, and website analytics and advertising tools. Their handling of information is governed by their applicable terms and privacy practices.
  • Government authorities, when required by law, for example for border, customs or security requirements, or in response to a valid legal request.

Information stored outside Canada. Some of our suppliers and service providers store or process information outside Canada, including in the United States. While there, your information may be subject to the laws of that country.

Email Communications

We send newsletters and promotional emails only to people who have agreed to receive them, in keeping with Canada's Anti-Spam Legislation (CASL). Every newsletter includes a way to unsubscribe, and you can also ask us to remove you at any time by emailing us.

If you unsubscribe, we will still send emails needed for any trip you have booked, such as confirmations, payment reminders and travel updates. Contacting us through our website does not sign you up for our newsletter.

Cookies and Website Data

Our website uses cookies and similar technologies to understand how visitors use our site and to show our ads to people who may be interested in our services.

  • Essential setting: a small setting saved in your browser remembers your choice on our cookie notice.
  • Google Analytics shows us which pages are visited, how people find our site, and general details such as device type and approximate location. We review this information in summary form to improve our website.
  • Meta Pixel (Facebook and Instagram) lets us measure how our ads perform and show our ads to people who have visited our site or may be interested in destination weddings and travel. Meta may connect this information with your Facebook or Instagram account under its own privacy policy.

Google and Meta process this information in the United States and other countries.

Your choices. We load Google Analytics and the Meta Pixel only if you select "Accept" on our cookie notice. If you select "Decline," they are not used. You can change your choice at any time using the "Cookie settings" link at the bottom of every page. You can also block or delete cookies in your browser settings, opt out of Google Analytics with Google's opt-out tool, and manage how Meta uses your information in your Facebook and Instagram ad preferences.

Like most websites, our web host keeps basic technical records, such as IP addresses and the date and time of visits, to keep the site secure and working properly. Our site also loads fonts from Google, which receives your IP address when the page loads.

Some links on our site, such as our planning and newsletter forms, social media pages and supplier websites, take you to other companies' sites. Their own privacy policies apply there.

Keeping Your Information Safe

We currently keep inquiry emails indefinitely and do not routinely delete them. Booking and client records are retained according to our host agency's and TICO's requirements; the applicable retention periods still need confirmation. We do not currently have a written retention schedule. Backup retention and deletion arrangements have not been confirmed.

We use reasonable safeguards to protect your information, including password-protected accounts, secure booking systems and limited access. Only Tina and Jayna, and the suppliers and service providers who need it, have access to your information.

No method of sending or storing information online is completely secure. Please do not send full payment card numbers to us by email; we will provide a secure way to make payments.

If a breach involving your personal information creates a real risk of significant harm to you, we will notify you and the Office of the Privacy Commissioner of Canada as soon as possible.

Your Choices and Rights

You may ask to see the personal information we hold about you, ask us to correct it, or withdraw your consent to how we use it. Withdrawing consent may mean we can no longer book or service certain travel for you, and we will explain if that is the case. We may need to confirm your identity before acting on a request.

Children. We collect information about travellers under 18 only from a parent, guardian or the adult booking their travel, and only as needed for the trip.

Changes to this policy. We may update this policy from time to time. The current version will always be posted on our website, with its effective date at the top.
